Excel worked well. Until it wasn’t enough any more.

There’s nothing wrong with having started in Excel — it’s the right tool at the start. The problem shows up when a second person edits the same column, the version emailed around becomes “the real one”, and nobody can say for certain which file reflects reality.

Excel isn’t limited because it’s badly made — it’s limited because it was never designed for several people writing to the same place, at the same time, with no clear rule about who’s allowed to change what. With one file and one person, that’s not a problem. With five people and a daily process, it becomes the hour lost every day checking “which is the good version”.

We’re not asking you to give up how you think about the data — we’re proposing one source of truth, with concurrent users, validation that won’t let anyone enter a negative price or an impossible date, and a full history of changes. The Excel export stays: it’s a good output format, not a good place for your data to live day to day.

Migration always starts from your real files, not a theoretical schema. We look at what you have, clean up what needs cleaning, and build the application around the processes you already use — not ones we invented.

What you get

Import and cleanup of existing data

Your files, as they are, with duplicates and inconsistencies resolved on import, not ignored.

Concurrent access, no fighting versions

Several people work on the same data at the same time, each seeing the others’ changes immediately.

Validation Excel can’t enforce

Rules that block an impossible date, a non-existent code or a total that doesn’t add up — before it reaches a report, not after.

Access roles

Who sees, who edits, who only exports. With a full history of changes.

Automatic reports

The reports you assemble by hand at month end, generated straight from the data, at a click.

Excel export, whenever you need it

We don’t take away the tool you’re used to — we keep it as an output, not as a database.

Technologies

Backend

  • Java & Spring Boot
  • PHP & Laravel
  • REST API

Interface

  • React
  • Vue
  • Direct .xlsx import

Data

  • PostgreSQL
  • MySQL / MariaDB
  • Excel & PDF export

A good fit if

  • more than one person edits the same file, in parallel
  • you’re no longer sure which version of the file is correct
  • a formula broke because someone inserted a row
  • you need a history of changes, not just the current value

Frequently asked questions

Will we lose Excel entirely?

No. The Excel export stays available whenever you need it — for an ad-hoc analysis or a report you send on. What changes is where the data lives day to day: not a file on one computer, but a system anyone with the right access can reach, under the right rules.

How long does the data migration take?

It depends on how many files you have and how consistent they are with each other. For a single well-defined process, usually a few days to two weeks — the part that takes time is cleaning the data, not the import itself.

How do we know what to build first?

From the process costing you the most time right now, not from a complete list. We start with the file that breaks most often and grow the system from there, with every stage usable immediately.

How much does it cost?

It depends on how complex the process is and how many concurrent users you have. Real ranges are on the pricing page; the exact figure comes once we’ve seen your files.
